Standard Operating Procedure for Sick Reporting, Hospital Admissions, and Leave
- Sick Reporting
A sick report slip, signed by the House Mentor (HM), must be submitted to the Medical Officer (MO) for diagnosis, treatment, and recommendations. These recommendations may include allowances such as excused footwear, special diets, bed rest, specialist referrals, or medical leave. All cases will be returned to the HM for formal approval, endorsement, and follow-up. - Special Treatment and Referrals
Cadets requiring further medical investigations or specialist care will be referred to the Combined Military Hospital (CMH) Mardan, Mardan Medical Complex (MMC), or the District Headquarters Hospital (DHQ) as per the following guidelines:- The designated person will display the specialist schedules for CMH Mardan, MMC, and DHQ on the Sick Room notice board. On the scheduled days, the designated person will arrange for transportation to the hospital under the supervision of HM for necessary treatment or consultation. Parents will be informed by the respective HM when necessary.
- Cadets requiring treatment from doctors or hospitals outside Mardan should schedule visits during leave or weekends. In emergencies, they may be granted a specific duration of leave for residence without including it as formal leave, subject to the approval of the Principal.
- Requests from cadets or parents to seek treatment at a hospital of their choosing will not be accommodated.
- In cases of surgeries or chronic conditions, cadets may be required to withdraw from the college.
- Sick Leave
All medical leave must be recommended by the College committee (HMs and Principal) based on the cadet’s health condition and the severity of the issue. - Sick Leave Recommendations
The hospital SMO will recommend sick leave, specifying the nature of the illness, reasons for the leave, necessary precautions, and the date of the next medical review. This recommendation will be forwarded to the HM for further processing. Leave and Weekend Policy - Leave will be granted as follows:
- Two days of leave will be allowed for a sibling’s wedding.
- Cadets from distant locations may proceed on a long weekend beginning Thursday (after classes) and return Sunday evening. Local cadets will leave on Saturday (after classes) and return Sunday evening.
- No additional leave or weekends will be granted beyond the sanctioned leave/weekends.
- During exams, leave or weekends will not be permitted except in serious emergencies (e.g., death of a parent or sibling, or a serious illness).
- Short leave may be granted for urgent matters, such as NADRA verification.
- Leave requests must be formally submitted by parents to the college administration.
- Parents must submit a written application and provide assistance documents when requesting leave for any special reasons.
- Only the relatives declared in the cadet’s dossier are authorized to meet with them on designated Sundays.
- Absence and Overstaying Leave
Cadets overstaying leave without valid reasons will face the following consequences:- Cadets returning late on the same day will be assigned writing tasks, including completing past exam papers for all subjects within 24 hours.
- Late returns before the following day’s classes will result in 1 extra drills, 3 past exam paper assignments, a Rs. 1,000 fine, and a warning from the House Mentor (HM).
- A one-day delay will result in 2 extra drills, 5 past exam paper assignments, a Rs. 2,000 fine, and an HM warning.
- Delays of more than one day but fewer than nine days will result in the cadet being assigned past exam papers and missed syllabus work during sports and leisure time, 3 extra drills, uniform restrictions, and a Rs. 2,000 fine per day, in addition to an HM warning.
- Absences of 10 days or more will result in the cadet’s admission being cancelled.
- Cadets returning after overstaying leave must be accompanied by their parents or guardians; unaccompanied returns will not be allowed.
- In cases of overstaying leave due to medical reasons, cadets must submit a medical report and lab test results (delivered by the parents) within 24 hours of returning. Failure to do so will result in the cadet being marked absent.
- Standard Operating Procedure for Cadets’ Misconduct
- Tardiness Policy
Lady Cadets who arrive late for Physical Training (PT), Drill, Assembly, Mess, or Games Fall-in will be referred to PTI for taking disciplinary action. - Misconduct Policy
Lady Cadets found guilty of misconduct in the Mess or exhibiting inappropriate behavior will face disciplinary action by mess supervisor and the issuance of a warning letter. Accumulation of three warning letters will result in a one-week suspension from Girls Cadet College Mardan (GCCM). - Class Absenteeism Policy
Lady Cadets who intentionally miss classes will have one mark deducted from their monthly test score as a penalty. - Drill/PT Absenteeism Policy
Lady Cadets who fail to attend drill sessions or PT session without a valid reason will be referred to drill instructor and PTI to take action against them. - Phone Confiscation Policy
A confiscated mobile phone will never be returned along with a one-month suspension of a cadet. - Late Arrival/Report Policy
Lady Cadets who arrive late or fail to report on time will incur a fine of Rs. 1,000 per day. - Mobile Phone Submission and Prohibited Items Policy
Late submission of mobile phones or possession of non-permissible food items will result in the suspension of phone privileges for one week, denying cadets the ability to make calls to their parents.
- Tardiness Policy
These policies are implemented to maintain discipline and order within the institution, fostering an environment conducive to learning and personal development.
Standard Operating Procedure for Cyber Crime
- General Guidelines:
- Cadets are permitted to use non-Android mobile phones to contact their parents during designated call timings only.
- The use of Android mobile phones is strictly prohibited. Any cadet found using a mobile phone outside of the permitted times, days, or durations will face confiscation of the device, a fine, punishment as per SOP, and disposal of the phone by destruction.
- Cadets may use the internet for educational purposes, such as research, assembly presentations, and video lectures, only in the computer lab or library. This must be done under the strict supervision of the Computer In-charge, Library Officer, or Lab Assistants, who will monitor their activity closely.
- The college administration strictly prohibits the use of social media for the following purposes:
- Uploading or sharing videos from the college, including personal or humorous content, and any videos showing cadets in uniform.
- Engaging in harassment, spreading inappropriate content (e.g., explicit images, hate speech, or defamatory content).
- Sharing copyrighted or confidential material without proper authorization.
- Penalties for Violating Cyber Crime SOPs:
- In addition to fines and punishments, cadets who violate these SOPs may face immediate expulsion from the college, depending on the severity of the case.
- A suit for damages may be filed against violators in civil court where applicable.
- In cases where parental negligence, carelessness, or intentional support is found, parents may also face legal action for their involvement in such unlawful acts committed by their children.
- Violators may be prosecuted under Section 200 of the Criminal Procedure Code (CrPC) for breaches of these SOPs.
- In cases of expulsion due to cybercrime, the college reserves the right to demand full payment of dues from the parents without leniency.
f. A suit for defamation may be filed against violators, subjecting them to physical and financial penalties as per the law.
- If a violator fails to pay damages, the court may confiscate their property or assets.
- Anyone who creates or uses a fake social media ID to impersonate another person will be prosecuted under Section 419 of the Pakistan Penal Code (PPC), with a punishment of up to seven years in prison, a fine, or both.
- Any individual who publishes or makes defamatory statements in written, verbal, or visual form will be prosecuted under Section 500 of the PPC, with a punishment of up to five years in prison, a fine, or both.
- Any person who alters, modifies, deletes, generates, transmits, or stores information without authorization will be prosecuted under Section 37 of the Electronic Transactions Ordinance (ETO) 2002. Penalties include up to seven years of imprisonment, a fine, or both.
Note: Actions such as creating, editing, deleting, or hacking accounts on Facebook, email, WhatsApp, Twitter, Instagram, etc., fall under Sections 36 and 37 of ETO 2002.
Standard Operating Procedure for Sunday Visits by Parents
Visiting Day Schedule:
Every 4th Sunday of the month is designated as visiting day.
Visiting Hours:
• Summer/Winter: 09:30 AM – 01:30 PM
House Mentor Availability:
All House Mentors will be present on the designated Sunday for their respective houses.
Restrictions and Guidelines:
- Only authorized visitors, specifically parents or guardians listed at the time of admission, are permitted to visit.
- Late arrivals will not be allowed to enter for visits.
- Parents must not bring prohibited items into the college, such as junk food or fizzy drinks.
- Lending personal mobile phones to any cadet other than their daughter is strictly prohibited.
- Parents are not allowed to take their daughters outside the college premises during the visit.
Security Measures:
A list of cadets eligible for visits will be provided to the security staff by the academic or administrative clerk on the Saturday preceding the visit.
